The missed-call problem, and how to size it for your venue

Calls arrive when you are busiest: just before service, during the lunch rush, at 6.30pm on a Friday. If nobody answers, many callers will try somewhere else.   1. Pull your phone provider's call log for four weeks, or use a call-tracking app.
  2. Count calls that were unanswered or abandoned during opening hours and in the two hours before service.
  3. Estimate the share that would have been bookings (listen to any voicemails, or sample 20 calls).
  4. Multiply by your average party size and spend per head.

A worked example with assumed figures: 12 missed calls a week, 40% of which would have been bookings, for parties of three spending £35 each. That is 12 x 0.4 x £105, or about £504 a week in missed revenue, roughly £26,000 a year if the pattern holds. Most AI phone agents record or transcribe calls. That makes you responsible for the data. This is general information, not legal advice, and you should confirm your approach with your data protection adviser.

  • Tell callers. UK GDPR requires you to give people clear information about how their data is used, including their right to be informed, as set out in the ICO's guidance, which the ICO says is under review following the Data (Use and Access) Act 2025. A short opening line such as "You're speaking to our automated assistant. This call is recorded to take your booking" is good practice, and it avoids misleading callers about who they are talking to.
  • Have a lawful basis. For taking a booking, that is usually steps requested by the caller or your legitimate interests. For keeping recordings for quality or disputes, document why, and do not rely on a "calls may be recorded" notice as consent.
  • Business call recording rules. The Telecommunications (Lawful Business Practice) Regulations 2000 allow businesses to record calls for specified purposes, such as establishing facts and checking standards, provided you make reasonable efforts to inform people.
  • Set a retention period and delete recordings on schedule. Be ready to handle subject access and deletion requests.

  • Check the vendor as a processor. You need a data processing agreement, clarity on where data is stored, and any subprocessors such as speech or language-model providers.
